Student Identity Verification Policy

New Western University (NWU) requires all students to provide verifiable proof of identity during the admissions process, enrollment, and ongoing program participation. Identity verification is conducted using secure, reliable, and legally compliant methods to ensure that students engaging in NWU’s programs are the individuals they claim to be.

Procedures

  1. Initial Identity Verification During Admission

    Required Documents:

    • Government-issued photo ID (e.g., passport, driver’s license, or national identity card).

    • Proof of educational qualifications (e.g., official transcripts or degree certificates).

    Process:

    • Admissions personnel verify the submitted ID against the personal details provided during application.

    • Additional document verification is conducted for international students, including:

      • Evaluation of foreign transcripts by certified credential evaluation agencies.

      • Validation of English language proficiency scores (e.g., TOEFL, IELTS).

    Documentation and Retention:

    • Verified identity documents are securely stored in compliance with FERPA and institutional data retention policies.

  2. Identity Verification During Enrollment

    Upon acceptance, students are issued:

    • A unique NWU student ID number.

    • Login credentials (username and password) for NWU’s LMS.

    Students must confirm their identity by logging into the LMS and completing an initial profile verification, which includes:

    • Updating personal contact details.

    • Uploading a secondary form of ID, if required.

  3. Ongoing Identity Verification

    Secure LMS Login:

    • Students are required to use their unique login credentials to access courses and submit assignments.

    Examination Identity Checks:

    • For proctored examinations, students must present a government-issued photo ID at the beginning of the session (physical or virtual).

    • Virtual proctoring tools may include:

      • Live video monitoring.

      • AI-driven facial recognition systems to match the student with their ID on file.

    Periodic Updates:

    • Students may be asked to reconfirm their identity if there are discrepancies in their records or substantial changes in their account activity.

Privacy and Confidentiality

NWU is committed to protecting the privacy of student identity data. All identity-related documents and data are:

  • Stored securely in compliance with FERPA and relevant data protection laws.

  • Accessed only by authorized personnel for legitimate purposes.

  • Retained for the duration required by institutional policies and applicable regulations, after which they are securely deleted.

Violations and Consequences

Students found to have falsified identity information or violated verification protocols may face:

  • Academic penalties, up to and including expulsion.

  • Legal consequences if fraud is identified.

Unauthorized access or use of another student’s credentials is prohibited and will result in disciplinary action.
